What you can expect when working with me.

I aim to provide you with website copy and other written content, per your request/guidelines, that reflects you as your brand and that you have the utmost confidence in and love.

Once we start working together, it is very much about building a mutual relationship of trust, honesty, and integrity.

Clear and open communication is, and always will be, the cornerstone of our professional relationship. I value your input and understand the importance of understanding your needs and expectations.

There is no such thing as a silly question.  Therefore, always be bold and ask about anything.  From start to finish, it is about providing you with words and copy to build a successful brand and inspire confidence.

1.    Agency Contracting Terms

If you contract me on behalf of an Agency to work on a project for one of your clients, a contract is between me and the Agency and not between me and the client of the Agency. In the case of any claim by any client of the Agency for damages or compensation brought about as a direct or indirect consequence of the use, or inability or unwillingness to use, the material I write for you, you agree to indemnify me.

2.    My Guarantee 

You can expect me to be committed to our professional relationship. I will be available for phone calls and meetings at agreed times and always reply to emails within a 48-hour, usually much earlier than 48 hours.

You can expect honesty and integrity in all aspects of our dealings together. I aim to be transparent in all areas of our working relationship, including communication, copy and content creation, and payment.

If you are dissatisfied with the work I have written for you, please let me know in writing as soon as possible. I am committed to resolving any concerns you may have to ensure your satisfaction and confidence in my services.

If you still consider that I still need to deliver work suitable for your purpose when measured against the brief's requirements, you will be free to terminate our contract.  Genuine, fair, and reasonable consideration will be given to reimbursement in whole or partial form.  

What I expect when working with you.

We should work in close collaboration at all times throughout any given project, ensuring your input and ideas are valued and incorporated into the final product.

All my services require varying levels of input from the client. It is the client's responsibility to provide the necessary information, such as brand guidelines, target audience, and specific content requirements, for me to create copy and content that is bespoke to the client's brand.

This is provided with an agreed timescale before work is carried out.

I expect you always to be courteous, as I will be with you. Honesty and integrity on your part, as well as mine, will help us communicate well and produce copy and content that you are delighted with.

4.    Supplying Information 

It is your responsibility to supply all information requested and necessary for your website copy, blogs, social media content, sales/landing pages, and any other copy that I am commissioned to provide.

When I supply you with Strategy Documents of any kind, I ask you to complete them fully and honestly and then photograph/scan them to return to me within an agreed-upon time frame.

Please alert me to any technical issues with such documents within 24 hours of receipt so I can rectify them. If any technical issues are discovered after this period, we will work together to find a suitable solution that minimizes disruption to the project timeline.

5.    Copyright 

By supplying text & other data to Pink Copywriting for inclusion in your website/ marketing materials, you declare that you hold the appropriate copyright and permissions. The ownership of such materials and the owner's rightful copyright will remain with you. However, by supplying text and any other data to Pink Copywriting, you are permitting Pink Copywriting to use this material freely in pursuit of the copy of your website/marketing materials.

You agree to fully indemnify and hold Pink Copywriting free from harm in any claims resulting from you not having obtained all the required copyright and other necessary permissions.

You are responsible for ensuring that the wording used in your website and marketing materials does not violate any third-party rights, credibility, trademarks, copyrights, etc.

6.    The process:  Project brief and timescales

The more information you provide at the beginning of the project, the more smoothly the project will run.

In most cases, I will ask you to complete a comprehensive brand strategy document with me, which will remain the property of the client.

In addition, the client will be consulted and asked to provide up to 5 competitors to enable me to conduct a Competitor Analysis.  The findings will be put into a document and will also be the client's property.

Once you have provided all the needed information and payment, or first stage payment in accordance with a payment schedule, has been received in cleared funds, we will agree on a start date for the project and a date when you can expect to view the website copy in first draft format or draft copy format for any other service.

I aim to deliver the website copy in first draft format 4 - 6 working weeks after commencing the project. I can only achieve this if I have all the content needed per our initial consultation.

I will supply a copy in Google Docs. 

Once you have viewed the copy/content in its first draft format, you can suggest any changes you want made. I will give you 14 days to review any changes for each draft. Once all revisions have been made and you are satisfied with the final product, I will deliver the final copy/content to you in the agreed format.

The fee quoted allows for two rounds of revisions. Each round of revisions will be completed within 14 days of your feedback. If no revisions are required, the agreed fee stands.

If a substantial change to the copy is required for the first draft, an additional fee may be incurred. If you require more than two rounds of revisions, I will quote on an hourly rate. If no revisions are required, the agreed fee stands.

Should you wish to alter the scope of a project partway through, we will need to reassess and may need to requote additional fees to reflect any further work required. Any changes to the project scope will be communicated and agreed upon in writing before proceeding.

Should you wish to make any updates or changes to the website copy after sign-off or at a later date, contact should be made by email. Any work is chargeable. A rate must be agreed upon prior to the commencement of work.

I will make every effort to ensure your project is delivered on time.  If I cannot meet the agreed deadline, I will let you know as soon as possible and provide a revised timeline.  I will not be held liable for any loss or damages to any party due to a missing deadline, but I am committed to working with you to find a suitable solution that minimizes any potential impact on the project.

7.   Errors 

I work hard to ensure that the copy I produce for you is free of spelling mistakes and other literal. However, as the client, you are responsible for checking for spelling mistakes and literals. You absolve me of responsibility for any costs incurred due to the appearance of such errors in the published form in which you use the copy concerned.

8.    Working hours, availability & response time

Working hours are Monday to Thursday, 9 am - 4 pm. You may receive an email or response from me outside these hours. I will only expect you to reply during working hours.

I aim to reply to emails/return calls within 48 hours.

We will communicate via email, direct messaging, and Zoom. 

9.    Payment

Payment terms are at least 30% of the agreed price as a deposit. Then, stage payments, as agreed, until the final payment is made.  Once funds are cleared, I will confirm when work on your copy/content will begin. This date depends on receiving all the information needed as outlined in the “What I expect when working with you” section.

10.  Cancellations

Should you decide to cancel the project following payment of a deposit or similar stage payment, you will forfeit a minimum of 50% of the deposit paid.  If cancelled once work has commenced, you will forfeit your entire deposit and any stage payments made.  Any kind of refund will be a gesture of goodwill.

11.  Recommendations of other professionals

I will recommend other professional services to improve your website and online presence during our work together. This includes but is not limited to web designers, photographers,  SEO experts, branding specialists, and graphic designers. These professionals are purely recommendations, and I am not responsible for any communications, services provided, or payments agreed upon should you engage them in their services. 

12.  Your Rights

You are purchasing the copyright to the work I write for you when you commission me to write copy for you. The copyright is transferred to you on the final payment of the invoice.

Monthly package clients can use the copy once sign-off has been agreed.

Unless forbidden by a confidential agreement, I reserve the right to share a work sample in my portfolio; I will check with you first.

13.  Confidentiality and security

You can be assured that I will keep anything commercially sensitive about your business confidential. From time to time, I might need to involve other freelancers/agencies in a project, such as a graphic designer, photographer, or web designer. I will tell you first, and they will similarly agree to keep confidentiality.

I will be happy to sign a non-disclosure agreement should you pass information, materials or data to me as part of a project.

You agree to indemnify me against any action by you or your client associated with this information's accidental disclosure or loss.

14.  Legalities and Copyright

You, as the client, are fully responsible for proofreading and publishing the final project (print or online).

As the client, you are responsible for the authenticity of materials, research, quotations, and references supplied so that the material you provide me is accurate and legal.

You must also ensure that the facts or details in the final draft are correct. Once you have approved the final draft, I take no responsibility for the copy or any legal repercussions arising from your use of it.

I will not be liable to you for any loss of profits or indirect loss arising in any way in connection with the performance of the obligations related to any project you contract me to work on.

If you send me a draft copy, you affirm that you are the copyright holder or have the authority of the copyright holder to use this material as part of the new copy. You agree to indemnify me against any claim arising from the suggestion that the latest copy in any way breaches the copyright.

I make every attempt to ensure that my work complies with the law; however, it is your responsibility to submit all copies for legal review.
